Under the supervision of the Project Manager, the Junior Finance and Admin Officer ensures the use of efficient financial systems and oversees the overall office management of the Bonga field office. This role is critical for maintaining compliance with Orbis standards and donor regulations.
Key Responsibilities
1. Financial Management

Compliance: Ensure all financial activities align with organizational policies, donor regulations (IFRS/IPSAS), and local laws.

Processing & Recording:
-
Process payments and maintain accurate financial records in MIP accounting software.

Manage petty cash, check registers, and voucher pads.

Budget Monitoring: * Track program expenditures against available funds and work plans.

Prepare budget forecasts and ensure timely settlement of advances.

Reporting: Coordinate with relevant departments to submit government reports and ensure proper financial documentation is handed over to the Main Office (MO).
2. Administrative Oversight & Asset Management

Office Operations:
-
Manage office supplies, equipment, and timely payments for utilities and rent.

Supervise support staff, including cleaners and security personnel.

Logistics & Inventory:

Oversee the custodianship of fixed assets and ensure all property is correctly tagged.

Prepare quarterly and biannual reports on stock and asset inventory.

Manage documentation for all donated items and coordinate logistics activities.

About You
1. Qualifications & Experience
-
Education: BA Degree in Accounting or Management.
-
Experience: Minimum of three (3) years of relevant professional experience.
-
Standards: Must be well-versed in IFRS and IPSAS.
2. Technical Skills
-
Software: Advanced proficiency in Microsoft Excel and experience with accounting software (MIP preferred).

Office Suite: Competence in the full Microsoft Office Pack (Word, Access, Outlook, PowerPoint).

Analytical: Strong analytical skills with a high degree of adaptability in a field office environment.
