Key Purpose Statement

The People and Culture Specialist (Payroll) is responsible for ensuring the accurate, timely, and compliant processing of employee payroll in alignment with company policies and local labor regulations. The role supports the integrity of employee compensation data, provides reliable payroll services to employees, and works closely with HR and Finance teams to ensure seamless payroll operations and reporting.

Key Duties & Responsibilities

1. Payroll Processing & Compliance

  • Manage end-to-end monthly payroll processing in strict accordance with company policies and local labor laws.

  • Support overall payroll compliance and ensure the timely preparation and submission of all mandatory statutory reports.

2. Payroll Administration & Support

  • Prepare, cross-check, and validate monthly payroll inputs, including attendance sheets, leave balances, overtime logs, and standard allowances.

  • Coordinate closely with Finance teams to guarantee seamless and on-time monthly salary disbursement.

  • Audit payroll outputs systematically and resolve any operational discrepancies in a timely manner.

3. Data Management & Confidentiality

  • Maintain, update, and secure employee payroll files containing sensitive information regarding salaries, benefits, allowances, and custom deductions.

  • Enforce strict confidentiality standards for employee compensation data and ensure secure storage protocols for sensitive HR documentation.

4. Reporting, Reconciliation & Systems

  • Prepare periodic and ad-hoc payroll, aggregate compensation, and statutory compliance reports.

  • Reconcile payroll accounts and actively support month-end and year-end financial closing activities.

  • Assist in payroll system upgrades, automation workflows, and standardization initiatives to continuously improve processing efficiency.

5. Employee Relations

  • Act as the primary point of contact for internal payroll-related inquiries regarding salary structures, tax deductions, overtime calculations, or active benefits.

  • Deliver professional, timely, and supportive responses to queries raised by both staff members and department managers.

Qualifications & Requirements

Educational Background

  • BA Degree in Accounting and Finance, Human Resource Management, or a related business field.

Professional Experience

  • 3 to 5 years of proven, hands-on experience managing end-to-end payroll processing, payroll administration, and financial reconciliation.

  • Extensive experience utilizing specialized Human Resource Information Systems (HRIS) or dedicated digital payroll software.

  • Strong, up-to-date knowledge of local labor laws, income tax regulations, and statutory compliance mechanisms, with a history of supporting payroll audits.
