ABOUT THE JOB
The General Manager – Property Management is responsible for providing strategic leadership, direction, and overall management of the Property Management Company.
The position oversees the efficient operation, maintenance, leasing support, security, cleaning, customer service, and financial performance of residential, commercial, mixed-use, and corporate properties under the company’s management portfolio.
The incumbent is responsible for ensuring that all managed properties are maintained to the highest standards, tenants receive quality services, assets are protected and optimized, operational risks are minimized, and business objectives are achieved through effective planning, resource management, and continuous improvement initiatives.
KEY DUTIES AND RESPONSIBILITIES
A. Strategic Leadership and Business Management
• Develop and implement the company’s strategic plans, annual business plans, and operational objectives.
• Provide overall leadership and direction to all property management operations.
• Establish performance targets and monitor organizational performance against approved plans and budgets.
• Identify opportunities for business growth, portfolio expansion, and service improvement.
• Develop and implement policies, procedures, systems, and standards for effective property management.
• Advise senior management and the Board on operational, financial, and strategic matters affecting the business.
B. Property Operations Management
• Direct and oversee the day-to-day management of residential, commercial, mixed-use, and corporate properties.
• Ensure properties are maintained in excellent operational, safety, and aesthetic condition.
• Develop and implement preventive maintenance programs for buildings, facilities, equipment, and common areas.
• Ensure efficient management of utilities, waste management, landscaping, parking facilities, and other property-related services.
• Monitor property inspections and ensure timely resolution of identified issues.
• Ensure compliance with service standards and property management best practices.
C. Facilities, Maintenance, Security, and Cleaning Services Management
• Oversee all maintenance activities including preventive, corrective, and emergency maintenance.
• Ensure effective management of building systems including electrical, plumbing, HVAC, elevators, generators, fire protection systems, and related infrastructure.
• Direct and supervise cleaning and housekeeping services to ensure high standards of cleanliness and hygiene.
• Oversee security operations and ensure adequate protection of tenants, visitors, facilities, and company assets.
• Ensure emergency preparedness plans, fire safety procedures, and business continuity measures are implemented and maintained.
• Monitor service providers and contractors to ensure compliance with contractual obligations and service-level agreements.
D. Tenant and Customer Relationship Management
• Ensure delivery of excellent tenant and customer services.
• Develop and maintain positive relationships with tenants, property owners, clients, and stakeholders.
• Establish mechanisms for handling tenant complaints, service requests, and dispute resolution.
• Monitor tenant satisfaction and implement improvement initiatives.
• Ensure timely communication of property-related information to tenants and stakeholders.
E. Financial Management
• Prepare annual budgets, operational plans, and financial forecasts.
• Monitor revenue collection, rent administration, service charges, and operating expenses.
• Ensure effective cost control and resource utilization across all managed properties.
• Analyze financial performance and implement strategies to improve profitability.
• Review and approve expenditures within delegated authority limits.
• Ensure accurate financial reporting and accountability.
F. Contract and Vendor Management
• Oversee procurement and contract administration activities related to property operations.
• Evaluate, negotiate, and manage contracts with service providers, suppliers, and contractors.
• Ensure vendors meet agreed service standards, quality requirements, and contractual obligations.
• Conduct periodic performance evaluations of contractors and service providers.
• Implement cost-saving initiatives while maintaining service quality.
G. Human Resource and Team Leadership
• Provide leadership, coaching, mentoring, and performance management for staff.
• Build a high-performing and customer-focused organizational culture.
• Ensure proper workforce planning and deployment across managed properties.
• Monitor staff productivity, discipline, and compliance with company policies.
• Identify training and development needs and facilitate capacity-building programs.
H. Compliance, Risk Management, and Governance
• Ensure compliance with applicable laws, regulations, building codes, lease agreements, and company policies.
• Identify and mitigate operational, financial, legal, safety, and reputational risks.
• Ensure compliance with occupational health and safety standards.
• Establish internal controls and risk management frameworks.
• Ensure proper documentation, records management, and reporting systems.
I. Reporting and Performance Management
• Prepare periodic operational, financial, and management reports.
• Monitor key performance indicators (KPIs) across all properties.
• Present business performance reports and recommendations to senior management and the Board.
• Drive continuous improvement initiatives to enhance operational efficiency and service quality.
AUTHORITY
The General Manager shall have the authority to:
• Direct and supervise all property management operations.
• Approve operational expenditures within approved limits.
• Recommend recruitment, promotion, disciplinary action, and termination of staff.
• Negotiate and recommend contracts with suppliers and service providers.
• Allocate resources to ensure effective property operations.
• Enforce company policies, procedures, and operational standards.
EDUCATION
• Master’s Degree or Bachelor’s Degree in Property Management, Real Estate Management, Civil Engineering, Construction Management, Business Administration, Economics, Management, Facilities Management, Architecture, or related fields.
EXPERIENCE
• Minimum of 10 years of relevant experience in property management, real estate management, facilities management, or related sectors.
• At least 5 years in a senior leadership or managerial position.
• Experience managing residential, commercial, and mixed-use properties is highly desirable.
