Cash/ Commodity Distribution Supervisor

Job Summary

The Supervisor is responsible for the integrity of the commodity distribution process. This includes reviewing commodity reports, reconciling records with store sites, and ensuring that food aid reaches beneficiaries in accordance with donor policies (USAID) and FH procedures. The role involves tracking commodity movement from the Final Distribution Point (FDP) to the end-user while providing technical guidance to storekeepers and distributors.


Principal Responsibilities

1. Distribution & Compliance Oversight

  • Reconciliation:

    • Ensure PW attendance sheets reconcile perfectly with BML records.

    • Reconcile site commodity records with central project data.

  • Community Engagement:

    • Sensitize communities regarding allocation entitlements before distribution starts.

    • Ensure visible signage (banners) and complaint registers are present at all distribution points.

  • Operational Accuracy:

    • Verify that scooping materials align with allocated entitlements.

    • Deliver key organizational messages to stakeholders on distribution days.

2. Reporting & Documentation

  • Data Management:

    • Prepare monthly and quarterly commodity reports for donors and regional offices.

    • Document commodity monitoring reports for every distribution date by FDP.

  • Filing:

    • Maintain organized files of all distribution documents, including payrolls (PASS), CIN, and attendance sheets.

3. Team Leadership & Training

  • Supervision:

    • Manage and assign specific tasks to Commodity Storekeepers and Distributors.

    • Chair pre- and post-distribution meetings with community leaders and scoopers.

  • Capacity Building:

    • Conduct training sessions for scoopers and distributors on proper food management and handling.

4. Cross-Cutting Responsibilities

  • Safeguarding: Maintain zero tolerance for sexual exploitation and harassment.

  • Gender: Promote gender-sensitive planning and encourage female staff participation in high-profile activities.

  • Security: Ensure all staff comply with safety protocols, including First Aid and Fire Safety standards.



About You

1. Education & Experience

  • Academic Background:

    • BSC in Accounting or a related field of study.

  • Professional Tenure:

    • Minimum of 2 years of related experience, preferably in an International NGO (INGO) setting.

    • Previous experience with the PReSERVE Project is a significant advantage.

2. Skills & Competencies

  • Technical:

    • Proficiency in MS Office (Word, Excel, Access, PowerPoint).

    • Strong reporting and business correspondence skills in English.

  • Soft Skills:

    • Development-oriented mindset with high initiative.

    • Cross-cultural sensitivity and the ability to work effectively under pressure.

    • Knowledge of the local language of the intervention area is preferred.
