Integrity Consultancy Service (ICS) is a professional consulting firm providing services in monitoring and evaluation, public health, WASH, protection, GBV, research, and project management. ICS works with NGOs, UN agencies, donors, and government institutions across Ethiopia.
Position Summary
Integrity Consultancy Service (ICS) is seeking a competent and highly organized female Admin and finance assistant to oversee and manage the organization’s day-to-day financial and operational activities. The Admin and finance assistant will play a critical role in human resource coordination, logistics management, bid and proposal management, financial documentation, tax coordination, and executive support.
The position requires close collaboration with the Managing Director, Project Managers, Team Leaders, and external stakeholders to ensure efficient operations and successful project acquisition and delivery.
Key Responsibilities
1. Human Resource & Staff Management
· Manage project-based recruitment of consultants and field staff.
· Prepare and administer employee and consultant contracts.
· Coordinate salary and consultancy payments.
· Maintain proper HR records and personnel documentation.
2. Financial Documentation & Tax Coordination
· Properly document, organize, and archive all financial and operational documents.
· Manage tax-related issues with Yeka Sub-City Small Taxpayers Branch Office on behalf of ICS.
· Support compliance with statutory and audit requirements.
3. Logistics & Operational Support
· Manage vehicle rental and transportation arrangements.
· Coordinate flight ticket booking and travel logistics for projects.
· Provide operational support for field missions and consultancy assignments.
4. Bid & Proposal Management
· Conduct daily monitoring of bid opportunities (e.g., 2merkato.com).
· Share relevant bids with thematic team leaders and Project Managers.
· Collect bid documents and coordinate internal review.
· Assign relevant experts in coordination with Project Managers/Team Leaders.
· Collect and organize experts’ CVs and credentials.
· Follow up on technical and financial proposal development.
· Receive final proposals, print, bind, and submit proposals according to bid requirements and deadlines.
5. Contract & Client Management
· Represent ICS in signing contracts and agreements as delegated.
· Manage post-award contract administration.
· Support client communication and conflict resolution when issues arise.
6. Executive & Performance Support
· Support the Managing Director in implementing the annual operational plan.
· Organize and monitor weekly Plan vs. Achievement meetings.
· Track action points and follow up on implementation progress.
About You
· Female candidates only
· Must be located in or around Kotebe 02 area, Addis Ababa, or able to commute daily
· Diploma/ Bachelor’s degree in Management/Accounting
· Proven experience in operations management, consultancy operations, or project coordination
· Familiarity with bid management and proposal submission processes
· Knowledge of Ethiopian tax and regulatory systems (experience with Yeka Sub-City Tax Office is an asset)
· Strong organizational, multitasking, and time management skills
· High attention to detail and documentation accuracy
· Excellent communication and interpersonal skills
· Ability to work under tight deadlines and manage multiple bids/projects
· Problem-solving and conflict management skills
· Proficiency in MS Office and digital tools Salary & Benefits
